Implementing Secure Email for AGD point-persons – ACTION required for Group 2 providers

AGD: Implementing Secure Email for AGD point-persons 


As an AGD point-person, you have an important role in the project to streamline AFC/ GAFC Determination (AGD). Your organization is an AFC or GAFC provider that will soon be required to do all AFC/GAFC submissions through this new process .

Requirements for AGD Providers

  1. All email communications between AFC or GAFC providers and AGD Support, for any reason, must be conducted using the Massachusetts SecureMail service.  Only AGD point-persons are permitted to contact AGD Support staff for user account changes, application issue reports, training/ user questions, or administrative matters affecting AGD/SAMS users. 

  2. As a consequence of (1), all AGD Point-persons for Group-2 organizations must register their email address with the Mass SecureMail Portal, no later than Monday June 15. (Action required).  This registration is a simple & quick process; completion of which will be tracked by AGD Support staff.  Organizations may identify more than one AGD Point-person to support their organization's users.  The specific functions and responsibilities of an AGD Point-person have recently been updated, and are defined in the AGD User Guide (get the current version) and on the AGD Support blog (read Role of AGD point-person).

How to Register with the Mass Secure Email Portal (brief)

  • All prospective AGD Point-persons will receive an email from AGD.Support@massmail.state.ma.us, with subject line "AGD Secure:  Point-person registration". 

  • Open this email. This email is not a secure message when viewed in your own email application, and contains no Protected Information: think of it like a sealed envelope in the postal mail.

  • Follow the instructions.  Click the [Read Message] button. A secure website opens in your web browser.

    • If your email address is *not* on file with Massachusetts SecureMail portal, you will be prompted to create a SecureMail ID. Set a password, and set your password recovery question & answer.

    • If you already have a SecureMail ID, you will be prompted to login. Use the [Forgot Password] function if you can't remember your password.

  • Once your Secure Email Account is set, the system displays the email with subject line "AGD Secure:  Point-person registration". 

  • Click [Reply] to reply to the message.

  • Action item: Your reply must contain your name & the name of your organization.  Click [Send Secure].

  • The portal displays a success message. You are registered. The system sends you a copy of your reply message.

How to send a secure email to AGD Support (brief)

All email you initiate to AGD Support must be composed at the SecureMail portal. 

Please bookmark the login screen at https://securemail.state.ma.us/login. You will enter first your email address and then your password, before seeing the New Message screen.   Click [Send Secure] when done.  A copy of the "envelope" is sent to your email address.
