Aging & Disability for Professionals - Serving Massachusetts Older Adults and People with Disabilities

Webinar Chat Transcript – Dec 16, 2014

This chat transcript is primarily a real-time document from the webinar. This discussion was re-organized by theme; and some responses were clarified by AGD Support staff after the webinar’s conclusion.

Training suggestion – “hands on”

Viewer 12 @ All: Like many, I'm more of a visual learner. Is it possible at some point to conduct a practice application at one of these webinars and if not, why? Thank you.

AGD Support: For this large group of providers, we do not have the technical capability to conduct a group hands-on training webinar. We encourage all to use the field test database (with the User Guide step by step instructions) to practice multiple submissions.

Workflows

Viewer 47 @ All:  If you accidentally "clear all" workflow triggers without completing them, is there a way to retrieve them?

AGD Support: You cannot retrieve them as in "get them back", however you can re-trigger the tasks by opening the assessment, making a simple change (e.g. check and uncheck any box to activate the [save] button, and then saving the assessment –> thus triggering the workflow and its tasks.

Viewer 31 @ All: Now that you have unchecked and rechecked the box and work flows have been retriggered what happens when you click on that work flow you have already completed.

AGD Support: For tasks that you have already completed, you should simply ignore that newly generated workflow task.

Point People / User Requests

Viewer 78 @ All: How do we update the point of contact person or end users?

…meaning adding or removing users

Viewer 78 @ All: who do we email to if we need to update the point of contact person or end users?

AGD Support: Submit requests to add or remove users, or to edit the Point Person designation, but emailing to agd.support@state.ma.us. For all requests, include organization name, full name and email address.

ASAP issue – MDS Questions

Viewer 63 @ All: I'm an ASAP GAFC provider. Our GAFC RNs and CMs conduct 4 CDS reassessments on a quarterly schedule. Once we go live with the new system, should all CDS assessments, including initial and ongoing, now be the MDS-HC?

Viewer 31 @ All: for just AFC providers – we are only using the SAMS for initial MDS not yearly correct?

Viewer 63 @ All: For choices, waiver, ADH screenings, etc. can ASAP GAFC RNs still use the CDS?

AGD Support: Use the MDS-HC only for initial AFC/GAFC assessments. ASAPs completing ongoing quarterly assessments should continue to use the CDS.

Viewer 19 @ All: When completing the MDS form, if a question is missed you will receive a message stating how many questions remain unanswered. However, is there anyway to be brought back to what answers need to be answered instead of having to go through the entire MDS again?

AGD.Support: Utilize the assessment navigation tools that are available at the top of every assessment form to advance to the next desired question:

Viewer 19 @ All: When completing the MDS form, what would you like us to enter for the Case Record Number? Would the consumer's Medicaid number be sufficient?

AGD.Support: AFC/GAFC providers can ignore the Case Number field in the MDS-HC assessment form.

Agency/Provider

Viewer 77 @ All: Is the submitting agency the provider or is it Coastline?

AGD.Support: viewer 77: Coastline is always the AGENCY under the new process – this is a change for ASAPs.
